Monitor technical files by colour status
The colour square is a visual technical file status. You can quickly check compliance and make informed decisions about production, shipping, or escalation if documents are missing or the technical file is incomplete.
Feature access
This feature is available to all ProductIP users and included in all plans.
Document risk colours are not visible to your suppliers, when you use document request or technical file request.

Steps
- Go to the Technical Files section
You will see a square under the tab Progress for each technical file.
- The number in the square indicates how many documents are missing. Hover over the square, you will see an overview of all missing documents.
- The colour of the square indicates the document risk, the missing information and the status of the technical file.
Below is a detailed explanation of all colours:

Tips and best practices
- Focus first on red and orange colour squares when nearing a technical file deadline.
- You can adjust the risk colour for specific documents at your own discretion, possibly only for specific projects, file groups, product risk levels and product categories. See Manage and use document risks for more information.
- The colour square is directly linked to your requirement list. Check your requirement list to find the connection between the missing document and the related requirement. See Navigate the requirements list for more information.
Troubleshooting
- Unexpected technical file colour?
Check whether the technical file deadline is within the configured time window and whether regions or product categories are selected. - Cannot adjust technical file colour?
Only red, orange and green colours are configurable. Other colours are system-defined and cannot be changed.

FAQ
- Can suppliers see the document risk colours?
No. The selected document risk and colours are internal and not visible to suppliers when sending out a document or technical file request. - How can I solve missing documents?
Go into the technical file and look for the requirements that are still open. Upload the required document or set the requirement to “excluded” if you have reason to do so. The colour status will change to green.
