Manage your technical file requests

Follow up and monitor the action taken by your supplier(s) after you have sent out your technical file request(s).

 

Feature access 

This feature is available for Professional and Enterprise customers. Only selected users have the ability to send out file requests.

Steps

1. Create custom tabs, see our resource Create custom tabs for a walkthrough.

Within the New tab screen, go to the option ‘Technical file requests’. Choose the option you want to organise with the custom tab. Give each custom tab a clear name, for example “Pending TF request”. 

2. Remind your suppliers to accept the technical file request by resending the request. 

  • In batch: select the related technical files in your technical file overview and select Request technical file from the dropdown menu at the bottom of your screen, click Execute.
  • Per technical file: Open the technical file and click the Envelope icon at Technical file request Status.

 3. Review shared technical files. 

  • Click on the tab Requests > Pending view & clone shares.
  • The system will indicate if there is a difference between the information in your pre-draft technical file and the shared. Click the red link to see the differences: 

4. Once you have accepted and cloned the shared technical file the updates will not appear in your overview, once cloned it will become your technical file. If the supplier updates their technical file, you will not receive those updates.

 

Tips and best practices 

  • When accepting a shared technical file, ensure the information is the same as in the pre-draft technical file. If this is not the case, adjust the pre-draft technical file or decline the share and ask the supplier to adjust.
  • Avoid accepting the shared technical file without merging with the related pre-draft. This will result in open pre-draft technical file, where the supplier has already supplied you with the related information.
  • Add supplier article number and names and/or PO numbers to your pre-draft. This helps your supplier to relate the correct documents to the shared technical file.
